Uploading & Sharing

For a collaborative project, uploading into the project's team folder — not sharing out from a personal folder — is the primary, recommended way to get data to the rest of the team. Ad-hoc sharing from a personal account works, but it puts the data's continuity at the mercy of one person's account rather than the project's own storage.

Uploading a file and creating a share link both work the way they do in any Nextcloud install — see the official manual's File sharing chapter for the mechanics. What's specific to IREI's instance is which sharing permissions to actually use, and what they do and don't protect.

The two restrictions that matter​

When you create a share, two permission toggles genuinely restrict what a recipient can do — see Known Limitations & Gotchas for why "hide download"/Secure View is not one of them:

  • Disable resharing — stops the recipient from creating their own share out of what you gave them, so access doesn't silently spread.
  • Disable desktop sync — stops the recipient's desktop client from pulling a local copy of the folder onto their machine.

For anything containing sensitive or restricted data, disable both by default and only enable them deliberately. Contact IREI at irei@hi.is for help configuring this.

Sharing with People Outside IREI's Nextcloud​

There are two ways to share with someone who doesn't have an IREI Nextcloud account — domestic collaborators authenticating via Menntaský, or foreign collaborators abroad:

  • Invite by email — enter their email address in the share dialog and choose Invite guest. They get an email with a link to set a password, and a limited-permission guest account restricted to the shared files. See the Guests app documentation for details.
  • Public link — create a share link that works with no account at all. See the official manual's Public link shares section for how to create one and set permissions/expiry on it.

Storage counts against the team's quota​

Files you upload to a shared team folder count against that team folder's quota, not your personal quota — see Team Folders for how those are sized and requested.
